How to Export Your Microsoft License Data
To use the Microsoft License Tuner, you need to provide a CSV file containing specific information about your users and their assigned licenses. This guide outlines the steps to export this data from your Microsoft 365 environment and prepare it for upload.
Permissions Required: You will need either Global Administrator or User Administrator permissions in your Microsoft 365 tenant to perform this export.
Privacy Note: We do not store or use any of your uploaded user data beyond the scope of the license analysis. Whether you choose to anonymize the file in Step 2 or not, only the necessary `Object ID` and `Licenses` information is processed temporarily, and no identifying user data is retained by our service.
Quick Process, Big Savings
The entire process only takes a few minutes from start to finish. Export your data (30 seconds), upload it to our tool (30 seconds), and get your results with potential savings of thousands quickly afterward. One of the fastest ways to find significant cost savings in your Microsoft environment!
- Log in to the Microsoft 365 Admin Center with your administrator account.
- In the left-hand navigation pane, navigate to Users Active users.
- Above the list of users, click the three dots (...) button, then select Export. This will download a CSV file.
- Save this file to a location you can easily access.

Note: Microsoft periodically updates the Admin Center interface. The location of the "Export" button might change slightly (e.g., it might be directly visible instead of under the three dots).
Your prepared CSV file is now ready!
- Go back to the License Tuner home page.
- Use the file upload component to select and upload your CSV file (either the original export or the anonymized version from Step 2).
- The tool will analyze your data quickly and provide optimization insights that could save your organization thousands of dollars.
- That's it! The entire process from export to insights takes just a few minutes total, making it one of the quickest ways to identify significant cost-saving opportunities in your Microsoft environment.
